1. Introduction
This privacy policy explains how Keystone Software Technologies LTD ("we", "our", "us") collects, uses, stores, and protects information when you use the SnapSnag mobile application ("the App"). We are committed to protecting your privacy and being transparent about our data practices.
Keystone Software Technologies LTD is a company registered in England and Wales, United Kingdom.
2. Information We Collect
SnapSnag is designed with a privacy-first approach. The vast majority of data you create in the App stays on your device and is never transmitted to our servers.
2.1 Data You Create (Stored Locally on Your Device)
The following data is created by you and stored exclusively on your device's local database. We do not have access to this data, and it is never uploaded to our servers:
- Photos: Images you capture using the camera or import from your photo library to document property defects.
- Location metadata: GPS coordinates attached to photos when you grant location permission. This is embedded in the photo data stored on your device.
- Text notes and descriptions: Notes you type or dictate using speech-to-text to describe defects and items.
- Project and room data: Organisational structures you create to manage your inspections.
- PDF reports: Reports generated from your inspection data, stored on your device.
2.2 Data Collected Automatically
- Crash and performance data: If the App encounters an error, anonymous diagnostic data (such as device type, operating system version, and stack traces) may be sent to our crash reporting service (Sentry). This data does not contain personally identifiable information, your photos, notes, or any content you have created.
- App update checks: The App periodically checks for over-the-air updates via Expo's update service. This involves your device contacting Expo's servers to check for new versions. No personal data is transmitted during this process.
2.3 Data We Do NOT Collect
To be clear, we do not collect:
- Your name, email address, or any account information (SnapSnag does not require an account)
- Your contacts, call logs, or browsing history
- Advertising identifiers or tracking data
- Health, financial, or biometric data
- Any content you create within the App (photos, notes, reports)
3. Device Permissions
SnapSnag requests the following device permissions to provide its core features. Each permission is requested at the point of use, and you can deny or revoke any permission at any time through your device settings:
- Camera: Required to photograph property defects. Photos are stored on your device only.
- Photo Library: Required to attach existing photos from your device to defect records.
- Location (GPS): Used to GPS-tag defect photos with the location where they were taken. This is optional — the App functions without it, but location data will not be included in your records or reports.
- Microphone & Speech Recognition: Used for voice-to-text dictation of notes. Audio is processed by your device's built-in speech recognition engine. We do not record, store, or transmit audio.
4. How We Use Information
The limited data we do receive is used solely for the following purposes:
- Crash and diagnostic data: To identify and fix bugs, improve App stability, and enhance performance.
- Update delivery: To deliver bug fixes and improvements to the App.
We do not use any data for advertising, profiling, marketing, or any purpose other than maintaining and improving the App.
5. Artificial Intelligence and Automated Processing
SnapSnag does not use artificial intelligence, machine learning, or automated decision-making to process your data. The speech-to-text feature uses your device's built-in speech recognition engine (provided by Apple or Google), which runs locally on your device. No audio, text, photos, or other content is sent to any AI service operated by us or by a third party on our behalf.
6. Third-Party Services
SnapSnag integrates the following third-party services:
- Sentry (sentry.io/privacy): Receives anonymous crash reports and performance diagnostics. No personally identifiable information or user-created content is shared with Sentry.
- Expo Updates (expo.dev/privacy): Used to deliver over-the-air updates. Your device contacts Expo's servers to check for App updates. No personal data is transmitted.
- Apple App Store / Google Play: In-app purchases are processed entirely by Apple or Google. We do not receive, process, or store your payment information, credit card details, or billing address. Purchases are governed by Apple's Privacy Policy or Google's Privacy Policy respectively.
- Device speech recognition: Voice-to-text is processed locally by your device's operating system (Apple Speech or Google Speech Services). No audio data is sent to Keystone Software Technologies or any third-party AI service. Audio data is handled entirely by the operating system and is subject to Apple's or Google's privacy policies.
We do not sell, rent, trade, or otherwise share your data with any other third parties.
7. Data Storage and Security
All user-created content (photos, notes, projects, reports) is stored in a local SQLite database on your device. This data does not leave your device unless you choose to share or export it (for example, by sharing a PDF report via email or messaging).
We do not operate cloud servers that store your personal data. The anonymous crash data collected by Sentry is stored on Sentry's infrastructure in accordance with their security practices and data retention policies.
8. Data Retention and Deletion
- Local data: All data you create in the App remains on your device until you delete it within the App, or uninstall the App. Uninstalling the App permanently removes all locally stored data.
- Crash data: Anonymous diagnostic data collected by Sentry is retained in accordance with Sentry's data retention policies and is automatically deleted after 90 days.
You can delete all your data at any time using one of the following methods:
- Within the App: Use the "Delete All Data" option in the App's Settings screen to permanently erase all projects, photos, notes, and reports.
- Uninstalling: Uninstalling the App from your device permanently removes all locally stored data, including the App's database and all associated files.
Since SnapSnag does not require an account and does not store your data on our servers, there is no account to delete. All data deletion is performed locally on your device.
9. In-App Purchases
SnapSnag may offer premium features available through a one-time in-app purchase. All payment processing is handled by the Apple App Store or Google Play Store. We do not collect, store, or have access to your payment information. For refund requests, please contact Apple or Google directly through their respective support channels.
10. Children's Privacy
SnapSnag is not directed at children under the age of 13 (or under the age of 16 in the European Economic Area and the United Kingdom). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete such information.
11. Your Rights
11.1 UK and EEA Residents (UK GDPR / EU GDPR)
Under UK and EU data protection law, you have the following rights:
- Right of access: You may request a copy of any personal data we hold about you.
- Right to rectification: You may request that we correct inaccurate personal data.
- Right to erasure: You may request that we delete personal data we hold about you.
- Right to restrict processing: You may request that we limit how we use your data.
- Right to data portability: You may request your data in a structured, commonly used format.
- Right to object: You may object to processing of your personal data.
- Right to lodge a complaint: You may file a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or your local supervisory authority.
Since SnapSnag stores data locally on your device and does not collect personally identifiable information, most of these rights are exercisable directly by you through the App or by uninstalling it. If you have questions, contact us at the email below.
11.2 California Residents (CCPA / CPRA)
If you are a California resident, you have the right to:
- Know what personal information we collect and how it is used
- Request deletion of your personal information
- Opt out of the sale or sharing of your personal information
We do not sell or share personal information as defined by the CCPA/CPRA. We do not use personal information for cross-context behavioural advertising.
12. Do Not Track
SnapSnag does not track users across third-party websites or services and does not use advertising identifiers. We honour Do Not Track (DNT) signals and Global Privacy Control (GPC) signals sent by your browser or device. Since we do not engage in tracking, no change in behaviour is necessary when these signals are detected.
13. International Data Transfers
Anonymous crash data processed by Sentry may be transferred to and stored on servers located outside the United Kingdom and the European Economic Area. Sentry maintains appropriate safeguards for international data transfers in compliance with applicable data protection laws.
14. In-App Access to This Policy
This privacy policy is accessible at any time from within the App via the Settings screen. You do not need to visit our website to review it.
15. Changes to This Privacy Policy
We may update this privacy policy from time to time to reflect changes in the App or applicable laws. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically. Continued use of the App after changes are posted constitutes your acceptance of the revised policy.
